A Checklist for Moving your Office or Business

Are you moving your office or business?

Moving your office or business is no small task and will probably require extensive planning and preparation.
Be sure your team is preparred for the time and commitment required to execute a smooth and well planned move.
The following list is a guideline of the things you and your company may need to be aware of:

  • Finalize lease for new location with lawyer and landlord
  • Notify insurance company
  • Notify present landlord of termination date
  • Advise staff of date and location of move
  • Pre-book elevators and loading docks for moving day (at both locations)
  • Tender and award moving contract (3 bidders)
  • Tender and award telephone and computer cabling
  • Determine how to handle incoming phone calls when changeover occurs (i.e., install temporary analog phone, temporary line?)
  • Inventory existing furniture
  • Identify any existing furniture to be disposed of
  • Arrange for sale/disposal of surplus furniture
  • Pre-order any new office furniture and equipment
  • Order new stationery (letterhead, envelopes, business cards, promotional materials, moving notices)
  • Prepare and pay for Post Office move notification
  • Advise owners of leased equipment (photocopiers, etc.) to arrange for pre‑move service and reinstallation in new location
  • Mail moving notices

  • Arrange Security
■                    Collect access cards and keys for old premises
■                    Distribute access cards and keys for new premises
  • Ensure building signage has been installed in the new location
